Executive Assistant to CEO

The Executive Assistant to the Chief Executive Officer (CEO) provides direct administrative support for the CEO and other management personnel as directed by CEO; carrying out specific projects as assigned.

This role will be hybrid - some days in office and some days from home. The in office days will be in Phoenix, AZ so ability to commute to this location is required.

Pay range: $51,000.00 - $55,000.00

What You'll Do:

  • May act as the initial contact for scheduling meetings and appointments for supervising Chief Officer.
  • Entering data and running monthly reports for various programs or departments as requested. 
  • Prepares agendas and takes minutes, transcribes minutes and distributes them all to appropriate individuals.
  • Works on and maintains various confidential projects and corporate records.
  • Creates and maintains confidential and administrative files and documents. 
  • Assists in providing arranging and providing support for conferences, meetings, and/or projects as needed.
  • Attends and participates in all required meetings. 
  • Assists in maintenance of the organization's donor database and donor communications. 
  • Tracks expiration and review requirements of the organization's policy and procedures. 
  • Performs work and represents AzCA in accordance with our mission, vision, and values and Foundations for Success.
  • Maintains consistent attendance and punctuality to provide consistency in meeting the needs of the agency.
  • Performs other duties as assigned, which are consistent with the general responsibilities of the position.
  • Communicates with members of the board via e?mail, telephone and mail.
  • Organizes and implements quarterly Board meetings, Board committee meetings, and other special meetings; including making arrangements for space, catering and other details, taking attendance, and other duties as appropriate.
  • Maintains archival records of Board and Board committee meetings and provides copies upon request.

Minimum Education & Experience:

- High school diploma or equivalent required with additional education or college level courses, which are applicable to the level of responsibility. Associate's degree preferred.
- Minimum 10 years' experience in practical office management and/or non-profit administrative experience.
- Or, Equivalent combination of education and experience to be able to perform the essential functions is required.

Minimum Qualification & Requirements:

  • Must be 21 years of age (licensing requirement).
  • Possess a valid Arizona driver's license and be insurable under the agency's automobile policy.
  • Must be able to provide DPS fingerprint clearance.
  • Must be able to meet training and agency compliance requirements for the position.
