Fundraising & Marketing Coordinator

The Fundraising & Marketing Coordinator provides direct support for the Development and Marketing Departments. The position is responsible for the Development data and gift processing system, office management functions, and additional administrative and special project duties as assigned.

Essential Job Functions:

  • Manages Virtuous and other fundraising data bases. Responsible for data entry and maintaining database integrity, continuity, and confidentiality.
  • Assists with monthly reconciliations for all gifts and written pledges with the finance department.
  • Generates all computer reports including campaign progress reports, analyses of contributed income, and campaign income and expense analyses.
  • Manages relationship with development software service companies.
  • Coordinates with mailing house and maintains familiarity with mailing regulations.
  • Maintains proper documentation of deposits and processes all gift acknowledgements, thank you letters, and assigned donor correspondence in accordance with AzCA's gift acceptance policies and IRS guidelines.
  • Researches funders and donors through electronic databases, qualifies prospects, and manages additions and subtractions to portfolios
  • Works with team on electronic messaging, direct mails and appeals, and timing of communication pieces.
  • Drafts correspondence as needed to respond to issues of business, donors, prospective donors, board member or other volunteers
  • Makes arrangements for external and internal meetings, including the preparation of notices, agendas, catering, and coordination with other departments, external agencies, individuals as necessary
  • Assists with grant proposals and reporting, including tracking deadlines and the compilation of supporting materials for proposals.
  • In conjunction with the development team, coordinates fundraising, donor recognition and public relations/awareness events; assists with budget accountability, sponsorship package development, timelines/tasks, logistics, vendor contracts, event execution and post-event wrap up and reports. Works closely with volunteer committees when applicable.
  • Coordinates tours, tour requests and requests for staff to speak at external events for clubs/organizations, businesses, United Way, foundation funders and other similar groups.
  • Represents the agency at public events, conferences, workshops, and media activities.
  • Works with marketing staff on collateral materials and promotion of event activities and ensures that event-related web updates are maintained.
  • Assists development team with sponsor relationships, supporting sponsor prospecting research, recruitment and retention efforts

Minimum Education & Experience:

  • Bachelor's degree from an accredited college or university preferred. High school diploma required.
  • 2 or more years of administrative support experience, preferably in a Fundraising environment.
  • Experience in Virtuous CRM or similar fundraising systems preferred.
  • Experience with InDesign, Photoshop and WordPress required and HTML coding preferred.
  • Or, Equivalent combination of education and experience to be able to perform the essential functions is required.

Minimum Qualification & Requirements

  • Must be 21 years of age (licensing requirement).
  • Possess a valid Arizona driver's license and be insurable under the agency's automobile policy.
  • Must be able to provide DPS fingerprint clearance.
  • Must be able to meet training and agency compliance requirements for the position.
