Position Summary:
As part of the Development Department, the Grant & Contracts Manager is responsible for researching, prospecting, writing, coordinating, and tracking grants and grant reports (government, foundation and corporate) in collaboration with other Development and program staff to support agency programs. In addition to grants, this position is responsible for leading the agency's contract process from identifying contract opportunities, through acceptance, implementation and closure. The position is also responsible for identifying and analyzing funder data gained from in-house and external databases to determine investor giving capacity, interest, connections to programs and is familiar with basic procurement practices and the development of internal contracts as necessary.
Essential Job Functions:
- Coordination and implementation of all grants activity, including proposal, tracking and reporting process.
- Maintains Grants Calendar tracking of all deadlines for grants submissions and reports in order to ensure all funder deadlines are met and all funder requirements are fulfilled. Monitors all grants activity on a regular basis to ensure that revenue goals are achieved.
- Develop and implement a comprehensive plan to identify, cultivate, solicit and steward new and existing prospects for grant proposals. Ensures all prospect information is entered into Raiser's Edge database.
- Secures and tracks information regarding grant guidelines on past, current and prospective funding sources.
- Confers with development team, program staff and Grants Committee regarding appropriate programs for grant requests and final review and approval prior to submission.
- Researches, analyzes, and compiles program goals and outcomes in order to make solid case for funding support.
- Writes compelling narratives for grant proposals, outcomes reports and other correspondence as needed. Works with program staff to compile additional documentation, such as budgets and program plans.
- Manages tracking systems for all grant-related actions, including prospect research, letters of inquiry, applications/proposals, and response data, into development database Raiser's Edge.
- Notifies responsible program staff of grants received and report deadlines, coordinates grant report activity with relevant programs and other internal departments, as applicable, in order to submit reports per funder guidelines and deadlines.
- Monitors and maintains an on-going and evolving pipeline of pending proposals of public and private funding agencies and RFPs.
- Coordinates with administrative program staff and AzCA's CPQI Coordinator for Performance Evaluation regarding grant strategizing, requested information, outcomes, and timely completion of applications and reports.
- Collaborates regularly with development staff and assists in ranking and prioritizing prospects for foundation and corporate engagement and solicitation. Works with department team to ensure proper donor recognition.
- Actively participates in grant-related networking opportunities and forums in the community and maintains relationships with corporate and foundation funders. Serves as department representative at internal and external committees and events (as appropriate).
- Upholds all fundraising and prospect research professional standards and expectations and adheres to the AFP Code of Ethical Principles and Donor Bill of Rights.
- Assists the agency in identifying and locating contracting opportunities when they arise in our programmatic and departmental specialty areas by completing an overview summary to help inform decision makers of the viability of applying. Identifies areas of risk as it relates to the proposed contracts. This includes consistent monitoring of the State of Arizona Procurement Portal for opportunities specific to the organization's primary services.
- Assists with program specific, contract-related issue resolution, both internally and externally.
- Serves as the lead in developing plans for responding to contract opportunities, ensuring that submissions are timely, accurate and a positive reflection of the agency.
- Once awarded, completes a review of the contract by delivering an overview to share with the applicable VP and/or SLT level staff. Prepares a report and makes recommendations for areas that require additional attention, focus, or resources.
- Maintains a centralized program contract management process to ensure that all signed contracts are appropriately labeled and retained in compliance with the organization's procurement and record retention policies.
- At time of program contract termination, assists in closing out the contract and coordinates the retention and storage of the contract in accordance with applicable laws, insurance and accreditation requirements.
- Reviews contract / RFP responses and analyzes areas for Organization improvement to increase likelihood of selection.
- Performs other duties as assigned, which are consistent with the general responsibilities of the position.
Minimum Education & Experience:
- Bachelor's degree from an accredited college or university. Master's degree preferred.
- Minimum 5 years' experience working in contract management / procurement, fundraising, grants writing and/or grants management. Non-profit program management experience in child welfare and/or behavioral health settings is a plus.
- Or, Equivalent combination of education and experience to be able to perform the essential functions is required.
Knowledge, Skills and Abilities (KSAs)
- Basic knowledge of fundraising principles, program management and reporting principles.
- Skills and knowledge in prospecting, funder research, organizational skills and creative writing.
- Ability to create and edit highly competitive grant proposals and other creative content in line with organization's mission and programs and develop compelling arguments through a persuasive writing style.
- Knowledge of procurement processes, accreditation and contract standards.
- Ability to effective source contracts, develop and submit proposals that lead to awards and implement contracts.
- Understanding of child welfare and behavioral services and systems that support them.
- Exceptional attention to detail with ability to produce a high quality of work and meet deadlines.
- Able to operate common office equipment and have strong computer technology skills, including Raisers Edge, Excel, and Microsoft Office.
- Must be able to implement critical thinking, analytical skills and project management skills, including the ability to read, comprehend and interpret complex information.
- Ability to take holistic approach in understanding the interconnectedness of programs statewide, how they affect each other, and how that knowledge can be utilized to effectively implement funding goals.
- Ability to work in a diverse, multi-cultural environment and be sensitive to the service population's cultural and socioeconomic characteristics.
- Ability to participate as a team member, utilize supervision and able to accept peer support
- Effective written, oral and interpersonal communication skills in the English language. Might also require Spanish.
- Must be organized with the ability to take direction, prioritize tasks, and to work independently with minimum supervision.
- Must have ability to maintain confidentiality, and exhibit sound judgment while providing emotional support.
- Ability to interact professionally with all staff and guests.
- Must be able to recognize and communicate with your supervisor to address self-care needs in order to effectively maintain all job duties.
- Ability to work in a variety of environments to include but not limited to in/outdoors with various obstacles, stairs and unknown conditions.
- Must be able to physically demonstrate competency in the following areas: operate transport vehicles as needed (unless declared a non-driver).
- Able to operate common office equipment and be proficient with electronic health records, calendaring, word processing and other needed computer and electronic device skills.
Minimum Qualification & Requirements
- Must be 21 years of age (licensing requirement).
- Possess a valid Arizona driver's license and be insurable under the agency's automobile policy.
- Must be able to provide DPS fingerprint clearance.
- Must be able to meet training and agency compliance requirements for the position.
